Before we receive your vehicle for shipping, please ensure the following:
Are all personal belongings removed?
For safety reasons, personal belongings are not permitted inside the vehicle. However, some items are considered part of the vehicle:
Ice scraper and snow brush
Spare tire / tire changing tools
Car cover
Driver manual / First Aid Kit
Jumper cables and minor tools
Child car seat (affixed)
Snowbirds - are allowed to include some personal items subject to the USA/Canada Customs Regulations when shipping cross-border.
Are all accessories removed?
Any accessories not permanently mounted should be removed. Be certain the jack, wheel-nut key and spare tire are properly stowed.
Is the vehicle in working condition?
Vehicles that do not run will not be accepted for shipment. Check to see that your vehicle is in good running order. Tires, battery, fuel, and a working emergency brake are important to ensure smooth handling during shipment. Remove all loose items and personal belongings.
Is the alarm system disabled?
Vehicle alarm system must be disabled prior to shipping.
Is the vehicle properly maintained?
Repair broken, loose, and rusted parts so that they are not lost during shipping. Make sure there are no spare fluids such as aerosols, no motor oil, no windshield washer fluid, combustibles or spare fluids and there must be no fuel leaks.
Is the fuel more than half a tank / fully charged?
Your gas tank should be half full. Top up all other fluids. During colder months be sure your car is properly winterized.
Electric vehicles should have a full charge and valet keys are not accepted for transport as it may be necessary to access the trunk compartment for charging purposes.
Does the vehicle have a minimum clearance? (4 inch)
In order for us to safely store your vehicle on our trucks your vehicle must have a minimum clearance of 4 inches
Leave a copy of your vehicle registration in the glove box
Please leave a copy of your vehicle registration in the glove compartment and, if possible, leave a written copy informing us of any security features, starting instructions or details pertinent to the handling of your vehicle.
Is your vehicle older than 15 years?
For vehicles older than 15 years, a safety inspection, and an appraisal, as specified below, not older than 30 days from your transport date, is required:
- A full inspection checklist from a legitimate Automotive Repair shop such as Canadian Tire, Midas, Dealerships, etc. signed by a licensed mechanic showing a detailed "pass or fail" of various mechanical and non-mechanical items on the vehicle that ensures a particular vehicle is safe and road worthy. Any items that "fail" will need to be fixed, and the member will have to provide us with a copy of the paid invoice showing items that were fixed.
- A legitimate appraisal on company letterhead showing details of the vehicle from top to bottom, including a set of full pictures inside and out. If there are no appraisal companies in your location, an alternative is to take the vehicle to your closest dealership, ask the Used Car Manager to appraise the vehicle on company letterhead signed by the Manager, along with his or her printed name.
Do you have External auxiliary fuel tanks?
External auxiliary tanks are not permitted for shipping with your vehicle.
1. VALCAR (10324256 CANADA INC) agrees to have vehicle(s) described on quotation shipped on or about the dates requested. VALCAR (10324256 CANADA INC) may designate a reliable carrier/agent to fulfill the terms and conditions of this agreement. VALCAR (10324256 CANADA INC) or its Agents do not guarantee a specific pickup or delivery date.
2. By either submitting your order online, by fax or by email, VALCAR (10324256 CANADA INC) understands you are placing your order and you accept the terms and conditions.
3. All vehicles need to be paid in full upon receipt of the order to guarantee a space in the designated truck/ carrier. If a vehicle is transported with a balance due, the money owing shall be paid by CASH OR EMAIL TRANSFER ONLY.
4. VALCAR (10324256 CANADA INC) does not guarantee transport by any specific driver/carrier.
5. VALCAR (10324256 CANADA INC) or its agents will not be responsible for vandalism, acts of God (fire, flooding, hail, sandstorm, tornadoes, and earthquakes) or objects flying from the road or sky during transport. Shippers should maintain their own insurance for these reasons.
6. Should VALCAR (10324256 CANADA INC) designate or assign the order to a third-party carrier/agent, at the moment of possession, by this agreement, VALCAR (10324256 CANADA INC) will not be liable for any misdeed, occurrences, incidentals, accidents, misbehavior or liabilities. Third party carrier/agent are other transport companies, owner operators or brokers.
7. If damage or theft should occur, all monies owed for transport, if any, must be paid to initiate a claim. Damage must be noted in the proper place on the bill of lading and signed by driver and shipper, regardless of weather, or time of day (if shipper or agent is not available the transporter may sign for them). Signing the bill of lading without any notation of damage verifies that shipper or his agent has received said vehicle in good condition and that VALCAR (10324256 CANADA INC) and its agents are relieved of any further responsibility. Shipper or his agent MUST check vehicle thoroughly regardless time of day or day of year.
8.VALCAR (10324256 CANADA INC) reserves the right to hold your vehicle until payment is made in full for transporting and or damages that accrued and or any fees, plus storage fees will apply. All the amount owed to VALCAR (10324256 CANADA INC) must be paid to VALCAR (10324256 CANADA INC) before the vehicle is released.
9. VALCAR (10324256 CANADA INC) OR ITS AGENTS SHALL NOT BE RESPONSIBLE FOR THE FOLLOWING:
(THESE EXCLUSIONS ARE ALL STANDARD BUSINESS PRACTICES OF THE AUTO TRANSPORTATION INDUSTRY)
1. Undercarriage, anything underneath of the vehicle, charging system (No evaluation is made of these components or systems at pickup location) therefore VALCAR (10324256 CANADA INC) or its agents do not accept responsibility for them.
2. Damage not detected at pickup location due to poor weather or lighting conditions.
3.Damage or fines incurred because shipper left personal or household items in vehicle.
4. Damage caused by leaking fluids, such as battery acid, motor oil, transmission fluid, brake fluid, power steering fluid, radiator coolant, or fallout resulting from acts of God.
5.Damage to cloth or vinyl convertible or decorative tops over 6 years old.
6.Damage caused by vandalism during transport.
7.Damage caused by freezing of cooling system and/or battery.
8.Damage to any attachment or accessory of the vehicle including, but not limited to automotive tops, head racks, tonneau covers, running boards, canopies, hitches and any other exterior parts that have been added or modified in the vehicle.
9.Damage to, or caused by any vehicle that cannot be driven on or off the transport under its own power. (Vehicle will not run, or has lost its braking system)
10. Should your vehicle cause damage to another or to the equipment due to your vehicle malfunction you will be held responsible and VALCAR (10324256 CANADA INC) may hold your vehicle until payment is made.
